TartariaCon 2025 is seeking a dedicated Event Coordinator to oversee the seamless execution of our inaugural event. In this role, you’ll manage logistics, coordinate with vendors, and ensure that every aspect of the convention runs smoothly. As the Event Coordinator, you will be responsible for developing timelines, managing budgets, securing permits, and overseeing both pre-event and on-site operations. This includes managing schedules for keynote speakers, workshops, and tours, coordinating with AV teams, and ensuring each session starts and ends on time. You will work closely with our planning committee and report directly to the Event Director. Your leadership will help shape an event that is not only educational and inspiring but also flawlessly executed.
TartariaCon is a unique blend of historical inquiry, architectural mystery, and community engagement. The ideal candidate will have at least three years of experience in event management, preferably within the conference or convention sector. You should be familiar with tools like Trello, Slack, and Google Workspace, and be comfortable juggling multiple priorities in a fast-paced environment.
In addition to the core responsibilities, you will also play a role in creating contingency plans for unexpected challenges, such as weather disruptions or last-minute schedule changes. Your problem-solving abilities and calm under pressure will make all the difference when it matters most. You will also collaborate with the marketing team to align messaging and timing with promotional efforts, helping ensure high turnout and engagement.
This is a hybrid role, with planning meetings held remotely and occasional in-person sessions leading up to the event. During the event itself, your presence at the Pasadena Convention Center will be crucial.
