Volunteer Coordinator – Unite and Inspire the TartariaCon Team

Are you a people-person with strong organizational skills and a heart for community building? TartariaCon 2025 is seeking a Volunteer Coordinator to build and lead a diverse, enthusiastic volunteer team that brings the energy and experience of the event to life. This role will be central in ensuring every aspect of the convention is well-supported by passionate, informed, and engaged volunteers.

As our Volunteer Coordinator, your key responsibilities will include recruiting, onboarding, training, and managing a team of 50–100 volunteers. You will design orientation sessions, create detailed volunteer guides, and develop daily schedules that align volunteers with event needs such as registration, crowd guidance, information booths, workshop assistance, and more. You will also act as the point person throughout the event, ensuring that all volunteer shifts are covered and that support is provided wherever needed.

TartariaCon is not just another convention. It’s a meeting ground for those who think differently, and your role will be essential in shaping the front-line experience of our attendees. Volunteers are often the first people guests interact with, and they play a vital role in setting the tone. Your ability to foster enthusiasm and readiness among volunteers will directly influence the atmosphere of the entire convention.

We are looking for someone who has experience in volunteer coordination, preferably in a nonprofit, event, or educational context. Excellent communication skills, both written and verbal, are essential, as is the ability to remain calm and solution-focused in a fast-paced environment. You should be comfortable using scheduling software, spreadsheets, and collaborative tools such as Google Drive.

Before the event, you’ll be involved in recruitment drives, interviews, and organizing virtual training sessions. During the event, you’ll move dynamically between volunteer stations, responding to issues as they arise, cheering on your team, and stepping in where needed. After the event, you’ll help with volunteer feedback collection and recognition efforts, such as thank-you notes, certificates, or spotlight features in our post-event coverage.
